LETO: property management automation with clear human control

LETO helps UK property agencies manage repairs, tenancy tasks and sales follow-up within agreed permissions. Explore the workflows and book a demo.
A property agency can have a capable team and still spend much of its day chasing the same things: a missing document, an unanswered approval, a contractor update or a reply that belongs on a transaction record. The problem is keeping the next action visible and making sure someone follows it through.
LETO is the property operations product in AICโs wider commercial portfolio. It helps UK letting and estate agencies organise maintenance, tenancy administration, reporting and sales or conveyancing work. It is available now for customer demonstrations around the processes your team already uses.
Start with the work that repeats
LETO records the request or document against the relevant case, checks for missing information and follows the permissions set for the workflow. It can send authorised reminders and updates, record responses and flag work requiring a person. The available actions depend on the configured workflow and its connections.
For maintenance, tenants can report an issue directly and attach supporting material. LETO assesses the report, follows the agreed approval process and selects or notifies a contractor from the agencyโs own list where authorised. Staff deal with exceptions and decisions outside the configured limits. The maintenance workflow explains these steps in detail.
That gives a demonstration a concrete task. Take a typical repair, remove personal details and ask to see how the report, approval and contractor actions stay together. Include an exception that should stop automated progress. The useful evidence is the record of what happened and why.
Keep tenancy preparation on one record
Prospective tenants can enter their details, upload documents and provide referencing information through LETOโs onboarding workflow. The platform tracks progress against the agencyโs checklist and follows up missing items. Staff review exceptions and make the final tenancy decision.
Tenancy administration also covers recorded certificate expiry dates, renewal tasks, assigned work and the documents supporting a tenancy. Managers can inspect what is preventing a move-in from progressing and which task is overdue, with an owner and history attached to the work.
The agency defines the checks it needs. A recorded document or completed checklist is evidence for its team to review. Professional and legal responsibilities remain with the people responsible for the tenancy and property.
Give sales teams a clear account of progress
LETOโs sales and conveyancing workspace covers residential transactions in England and Wales. It organises correspondence and documents, tracks enquiries, searches and deadlines, and prepares work for approval. It can show which action is outstanding and who owns it.
Agency users see the progress information they are permitted to receive. Authorised conveyancers retain control of legal work and decisions. Proposed dates, verified milestones and unresolved requirements need to remain distinguishable so a status update does not imply that an unapproved transaction step has happened.
Check how it fits the systems you use
LETO works alongside an agencyโs existing customer relationship management and accounting arrangements. The CRM remains responsible for its established applicant, offer and marketing records. Client accounting and rent ledgers remain in the finance system. LETO records the operational work around the agreed processes.
The integration register describes proposed connection scopes and prerequisites. Confirm the actual route, supported records, permitted updates and provider approvals for your own account before relying on a connection. A provider name in a register does not establish that every operation is enabled for every agency.
Administrator permissions also determine what the automation may do. LETO records automated actions and their reasoning against the case, so staff can review the history. Hosting, retention, service levels and other agency-specific arrangements are covered during setup; the security page identifies the questions to resolve.
Evaluate one workflow before estimating savings
Choose a repair or tenancy process with a clear beginning and end. Record the manual steps your staff perform, the systems involved and the points that need approval. Run the same scenario through a demonstration, then review the case history and any exception handling with the colleagues who would use it.
The illustrative LETO property workflow evaluation shows how to structure that discussion. It describes proposed checks, without presenting fictional activity as a customer result or assigning an unmeasured saving to it.
Compare the applicable LETO plan, onboarding, usage allowances and separately priced services with the work the agreed automation can remove. Include the review your team will still perform. The right comparison is based on your transaction volumes and process, not a generic claim about headcount reduction.
Arrange a LETO demonstration through AIC or explore the LETO product website. Bring a blank checklist, the systems you use and the approval limits you want the platform to follow.
